Xero vs QuickBooks vs FreeAgent: which is best for a UK small business?

A working-accountant comparison of Xero, QuickBooks, and FreeAgent for UK small businesses: what each does best, pricing, and which one to pick.

We've set up all three for clients, and we still get asked "which one should I use" almost every week. The honest answer is: all three are good, and the right one depends on the shape of your business rather than the shape of the software.

Here's how they actually compare in 2026.

The one-line summary

  • Xero: the strongest all-rounder. Best for growing SMEs, especially product businesses and anything with inventory or multi-currency.
  • QuickBooks: closest competitor to Xero. Cleaner UX in places, stronger US roots showing through, aggressive on price.
  • FreeAgent: built for UK freelancers, contractors, and micro-businesses. Free with NatWest / Mettle business accounts. Falls behind on complexity.

Prices change often; check the vendor sites for the latest. Rough ranges:

QuickBooks tends to lead on price and runs frequent "50% off for 6 months" offers. Xero tends to hold its price and focus on features. FreeAgent's killer detail: if you bank with NatWest, RBS, Ulster, or Mettle, it's free.

What each is best at

Xero: the all-rounder

Best for most growing UK SMEs. Especially:

  • Product businesses with inventory.
  • Multi-currency (best implementation of the three).
  • Businesses with £500k+ turnover and multiple employees.
  • Anyone wanting a huge app marketplace (1000+ integrations).

Weaknesses:

  • Bank rules can be fiddly to set up.
  • Reporting is powerful but takes time to tailor.

QuickBooks Online: the close competitor

Best for service businesses and consultancies at the smaller end. Especially:

  • Sole traders and single-director companies.
  • Businesses that want a simpler UX out of the box.
  • Anyone price-sensitive at the entry tier.

Weaknesses:

  • Multi-currency and inventory less polished than Xero.
  • UK-specific features (CIS, MTD ITSA) sometimes lag Xero.
  • App marketplace smaller than Xero's.

FreeAgent: the UK freelancer's choice

Best for freelancers, contractors, and single-director service companies. Especially:

  • One-person businesses under £150k turnover.
  • Contractors on IR35 who want Self Assessment inside the same tool.
  • Anyone banking with NatWest / RBS / Ulster / Mettle (it's free).

Weaknesses:

  • Not designed for businesses with staff, stock, or complex reporting.
  • Multi-user permissions are basic.
  • Weaker for businesses that plan to scale past £250k turnover.

Making Tax Digital compliance

All three are MTD for VAT compliant and are all preparing for MTD for Income Tax (April 2026 rollout for sole traders and landlords with £50k+ combined income).

Bank feeds

All three connect to every major UK bank via Open Banking. Reliability is similar. Xero has a small edge on niche international banks, and FreeAgent has the tightest integration with NatWest / Mettle (native, no re-auth every 90 days).

Payroll

  • Xero Payroll: solid, £5/month + £1/employee. Handles auto-enrolment, RTI, PAYE.
  • QuickBooks Payroll: solid, similar pricing. Slightly simpler UX.
  • FreeAgent Payroll: works but basic. Fine for 1-3 employees. Not great above that.

For 10+ employees, most accountants recommend a dedicated payroll bureau (BrightPay, Moneysoft) regardless of which bookkeeping tool you use.

Multi-currency

  • Xero: best implementation. Real exchange rates, automatic gain/loss calculations, unlimited currencies on Premium.
  • QuickBooks: multi-currency on Advanced tier only. Fine but less polished.
  • FreeAgent: limited multi-currency support. Not the right choice if this matters.

Inventory / stock

  • Xero: proper inventory management on Standard and Premium. Handles cost of goods sold, adjustments, tracking.
  • QuickBooks: inventory on Advanced tier. Comparable.
  • FreeAgent: no meaningful inventory. Track stock in a separate tool if you need to.

CIS (Construction Industry Scheme)

  • Xero: good CIS support, £5/month add-on. Handles contractor and subcontractor.
  • QuickBooks: CIS support included in most UK plans.
  • FreeAgent: basic CIS support. Fine for a single-trade sole trader.

App marketplace

  • Xero: ~1,000+ apps. Everything from Dext (receipts) to Fathom (reporting) to Chaser (debtor chasing).
  • QuickBooks: ~650 apps. Growing quickly.
  • FreeAgent: ~100 apps. Enough for basic needs.

If you know you'll want to plug in receipt capture, expense management, e-commerce, or industry-specific tools, Xero's marketplace is the deepest.

Our recommendation

  • Freelancer or contractor under £150k, single-person business, banks with NatWest / Mettle: FreeAgent. Free with the bank account, simple, gets Self Assessment done.
  • Small service business, £50k-£250k, one to three people: QuickBooks or Xero. Toss-up. Try both on their free trial.
  • Growing SME, product business, multi-currency, staff, ambition: Xero. Almost always.

Whatever you pick, get it set up properly at the start. Chart of accounts, VAT codes, bank feeds, tracking categories. A bad setup takes months to unpick.

Can I switch from one to another later?
Yes, but it's real work. You'll need to migrate opening balances, chart of accounts, and historical transactions. Most accountants recommend picking one and staying with it for at least 2 to 3 years. Choose based on where the business will be in 2 years, not today.
